Our client, a well named pharmaceutical company (Fribourg, Switzerland) is looking for you.

Major Responsibilities:

- Completes a broad variety of administrative tasks (see below) for the FSC Head and COSM Head, as well as to the FSC and COSM teams including: managing active calendars of appointments, team deliverables and milestones; completing expense reports; composing and preparing correspondence that is sometimes confidential; arranging complex and detailed travel plans, itineraries, and agendas; and compiling documents for travel-related meetings; logistics and communication support for recurring town hall and customer board meetings.
- Prioritizes, and follows up on incoming requests and concerns addressed to the FSC Head and COSM Head, including those of a sensitive or confidential nature. Determines appropriate course of action, referral, or response.
- Plans, coordinates and ensures the FSC Head and COSM Head schedules are followed and respected. Provides "gatekeeper" and "gateway" role, creating win-win situations for direct ac-cess to the FSC Head and COSM Head time and office.
- Travel organization (flights, accommodation, Visa, travel folder)
- Internal and external meeting organization (all aspects of meetings), offsite and internal, on-site support for conferences
- Calendar maintenance (schedule meetings when requested, solve conflicts, preparation of Agenda and pre-reads)
- Create, maintain and manage generic distribution lists, mailboxes, folders and SharePoint sites for the FSC & COSM teams
- Writing of correspondence
- Preparation of draft presentation after instructions
- Ensures updated presentation on Digital Signage/Screen communication on a regular basis with the Communication team responsible. Keep accurate information on Intranet pages. Coor-dinate and update org chart within departments on a monthly basis. Proposes content to add to screen communications.

Your Profile:

Linguistic background:

- Fluent English (writing and speaking)
- French is a plus
- Other European languages (eg German, Italian, Spanish) an asset

Work experience:

- MINIMUM OF 4+ YEARS OF EXPERIENCE AS AN EXECUTIVE ASSISTANT REPORTING TO SENIOR MANAGEMENT
- Advanced MS Office skills, with an ability to become familiar with firm-specific programs and softwares
- Proficiency in collaboration and delegation duties
- Strong organizational, project management and problem-solving skills with impeccable multi-tasking abilities
- Strong interpersonal skills, Friendly and professional demeanour
