Executive Assistant/Office Manager - 25 Hours Per Week

To manage and support the office in an efficient, effective and professional manner, operating with minimum supervision and maximum proactively.

The office consist of thirty direct members of Field Engineering, Support, Sales and R&D UK and EMEA team, additional support to marketing & Develop team and to stand-in for the business and during annual leave globally.

The successful candidate will be carrying out the following duties:

- Full calendar management for Senior Solution Director and for the management team as well The General Manager when require
- Manage group administration in an efficient, effective & professional manner
- Delivering high quality and timely responses to incoming telephone calls, emails and correspondence- The ability to work under pressure, meet committed deadlines and ensure that others deliver what is expected on time
- Responsible for liaison and scheduling of meetings both internal and external, including customer, press, third party companies. This including logistics, catering and agenda. Preparation of all briefing packs where necessary and presentations
- Provide administration support for any restructuring or re-organisations
- Note taking/Actions for employee relations and management meetings ( both in person and over the phone/Live Meeting)
- Manage administrative tasks on internal tools such as expenses, purchase orders, ordering PC equipment, stationery, etc and provide consistent communication to the team including team social events, birthdays and useful info.
- Regularly updating distribution groups/aliases
- Setting up new starters - ordering PC equipment, requesting aliases, putting together induction programme. - Following financial policies and guidelines (raising purchase orders, tracking invoices)
- Expense management for Directors and team when needed.
- Ensure compliance with administrative policies and procedure. Ensure business operations are in compliance with company policies, ie: analyze documents prior to approval
- Provide admin support to team projects where appropriate. Undertake special projects where required.
- Plan and organise key partner offsite meetings during the year, work closely with the Solution & Sales Team Management to ensure all logistics are covered.
- Attend staff meetings/conf calls. Action Taking. Chase and ensure deadlines are kept by asking after inputs to actions/items.
- No direct budgetary responsibility. A general requirement for an awareness of the cost dynamics of various activities:
- Customer site visits and training programs
- Customer/Employee Workshops
- Various Customer Satisfaction Initiatives
- Various team events
- Budget monitoring
- Ensure accuracy and set up of departmental organization charts
- Frequent communication with all levels of employees and managers as well as outside customers and suppliers
- Central point of contact for managers and teams- Excellent interpersonal skills to develop and maintain key working relationships across team and across business

TECHNICAL EXPERIENCE:

- Experienced in working in an EMEA/World Wide environment.
- Experienced in working at senior level.
- Experienced in dealing at an Executive level both internally & externally.
- Intermediate level skills in MS Outlook, Word, Excel & PowerPoint.
- Able to work in confidence with confidential matters.
- Ability to work under pressure & deadline
- Strong MS Office skills
- Excellent organisational skills
