Projektbeschreibung

The Executive Administrator will provide the support required in the London Offices to ensure that the resources necessary to perform their functions reach the deployed AD and SA personnel in a timely manner; to ensure that all ONRG personnel in all offices around the world are informed as to needs, progress, accomplishments, etc., of all assigned ONRG personnel; and to ensure that the mission of ONRG is executed to the satisfaction of both ONRG personnel and their superiors.

Specific duties of the Executive Administrator include:
1. Answering telephones, taking messages, or transferring calls to the appropriate staff member
2. Performing clerical tasks such as photocopying, faxing, scanning, mailing, and filing
3. Creating and maintaining electronic filing systems for the London offices on a personal computer and in the ONRG Knowledge Management (KM) system
4. Signing for and distributing UPS and FedEx packages
5. Coordinating and maintaining records of staff office space, telephones, parking, organizational credit cards, and office keys
6. Collecting and maintaining the controlled equipment inventory through utilization of the Navy ERP system
7. Providing office orientation for new employees and visitors
8. Scheduling and monitoring senior staff travel arrangements in the KM system
9. Creating and modifying documents, spreadsheets, and presentations using MS Office applications
10. Researching, pricing, and assisting Government Purchase Card holders in executing purchases for office furniture, supplies, and services
11. Establishing and maintaining Navy ERP roles such as Purchase Requisitioning;
12. Setting up and coordinating meetings, workshops, and conferences
13. Maintaining and distributing staff weekly schedules
14. Proofreading professional letters and documents
15. Meeting and greeting clients and visitors and checking their visit request and clearance level status
16. Monitoring facility security and reporting incidents or suspicious activity to the Security Manager
17. Support ONRG staff by performing assigned projects as requested

Due to the nature and urgency of this post, candidates holding or who have held high level security clearance in the past are most welcome to apply. Please note successful applicants will be required to be security cleared prior to appointment which can take up to a minimum 10 weeks.
