Brook Street are currently working on behalf of our Global IT client to recruit a Business Support Administrator. This role is a short term contract role, running for approximately 4-6 weeks with the potential to be slightly extended.

Role Overview

Within this role the successful candidate will have the following responsibilities;

Director Support:

- Pro-active diary management, responsible for keeping an overall view of the diary and ensuring that there is an optimum schedule for the meetings
- Ensuring all briefing papers and supporting information for internal/external meetings are given to the Director in a timely manner
- Co-coordinating domestic and international travel on behalf of the Director including accommodation, transfers
- Book meeting rooms, catering and AV for Directors meetings
- Maintain the Sector/Segment Rhythm of the Business calendar, ensuring that the Director is informed of any potential clashes and rescheduling as appropriate
- Preparing expenses for Director
- Managing logistics for all internal and external meetings/presentations for Director
- Manage and monitor actions from Leadership meetings
- Delivering high quality and timely responses to incoming telephone calls, emails and correspondence.

Business Support:

Provides business support in an effective, timely and professional manner including:

- Scheduling and co-ordination of group meetings/offsites, including logistics, catering etc
- Assisting Leadership team on administration matters where time allows ie scheduling customer meetings/team business reviews
- Organising travel itineraries for the domestic and international where needed
- Delivering high quality and timely responses to incoming telephone calls, emails and correspondence.
- Photocopying, faxing and dealing with post, courier requests
- Collection and distribution of mail for team, also acting as main point of contact for the Leadership team when they are out or away from their desks - all parcels, messages
- Ownership of internal processes, including the creation of Purchase Orders, tracking invoices, ordering Hardware/Software/Procurement
- Opex tracking and management to ensure T&E expenditure keeps within budget for group
- Reviewing team expenses, flagging non-compliance issues and providing guidance in line with the MS UK expense policy
- Updating and monitoring Org Charts, team aliases, SharePoint's sites
- Responsible for divisions 'New Starter' process
- Organising Live Meetings for large group meetings
- Ordering Stationary for team
- Providing administrative assistance to ad hoc Group projects ie relocations, team morale
- Providing administrative support to key ROB 'Rhythm of the business' process throughout the year ie MGX, End of Year Reviews, EPG Kick-off event
- Provide back up support to other admins within the team during busy times & holiday cover

Success Criteria:

- Provides effective Director and Group support and enables all staff within the A&O Sales team to work as efficiently and effectively as possible
- Presents a professional image on behalf of the Group, both internally and externally and at all times
- Maintains and seeks to improve admin processes on behalf of the Group
- Error free and timely correspondence
- Uses initiative appropriate to position, escalating where appropriate
- Freely shares best practice
- Demonstrates exceptional time management, organisation and planning skills
- Demonstrates ownership, tracking and follow through to resolution on all queries and issues

Experience Required:

- Self-motivated, hands on, can do attitude
- Experience with talking to senior clients
- Proven Background operating at PA level with strong organisational skills
- Proficient in Outlook and office skills
- Organised and efficient, able to prioritise and forward plan
- Good at problem solving
- Ability to deal with numerous competing demands and range of different people
- Ability to prioritise effectively
- Work to tight deadlines, multitask, work under pressure
- Knowledge at advanced level of MS Outlook, Excel, PowerPoint and Word

As a Brook Street contractor you will be entitled to 25 days holiday per annum, 8 days paid Bank Holidays, discounted gym membership, use of the onsite health facility, access to online learning and training, free parking and an excellent subsidised restaurant. In addition, subject to qualification criteria, you will have the potential opportunity to earn bonus.

Salary: Up to £32,000 per annum + benefits

Location: London, Victoria
