Projektbeschreibung

Our client a leading investment bank is currently seeking an Executive Administration Assistant to join their team supporting their trading technologies department.

The successful candidate will be working with a number of senior directors across the trading technologies department

You will be supporting a busy team and will work closely with the assistant to the Global Head of the department.

THE ROLE INVOLVES:

- Diary management, including global video/audio conferencing and Meeting room booking (pro-active management required and sensitivity/attention to detail for scheduling meetings with multiple global leads at one time)
- Organising travel, currency and taxi bookings for senior management
- Screening calls and relaying messages accurately and promptly
- Maintenance of email distribution lists, organisation charts, new start packs etc.
- Point of contact for Concur travel & expenses and global administrative procedures.
- Active member of the IT UK Admin Forum
- Office Management functions incl. desk space management and updating floor plans
- Collating, raising and cross checking expenses.
- On-Boarding new starters - assisting with desk allocation, equipment and phone requirements
- Department information maintenance of email distribution lists, organisation charts, new starter packs etc.
- Preparation of meeting agendas and documents
- Administrative support/approvals for internal systems

TO QUALIFY, YOU MUST POSSESS:

- Experience providing administrative support
- A Track record of effectively supporting a department head.
- Experience of supporting a department of 30 or more.
- Previous experience of support at this level. Preference is for someone internal who knows their way around Credit Suisse.
- A good working knowledge of Microsoft Outlook, Word, Excel and Powerpoint
- Excellent planning and organisational skills
- Must be able to deal with sensitive and confidential issues appropriately
- Able to think and act quickly and creatively
- Accuracy and high attention to detail
- Good communication skills
- Must be confident with the ability to work on own initiative with a resilient attitude and a down-to-earth approach to work
- Confidence to deal with senior members of staff
- Responsive to urgent issues
- Must be able to prioritise, deal with a number of tasks simultaneously and pay close attention to detail
- Must enjoy working within a team, in a busy and fast moving environment
