Event Stakeholder Planning Manager

Purpose of Job:

To lead and coordinate the planning and response for all events and special services for the DLR Network.

The role will be responsible for the production & distribution of operational plans, detailing the plans, resources & contingency arrangements to be put in place by Serco Docklands and other DLR stakeholders including Concessionaires and the Stratford International Extension maintainer to develop a -One Railway" approach for major events.

The post holder will ensure that all plans are sufficiently developed, tested, analysed, budgeted for and communicated prior to each event.

The postholder will take the Serco Docklands project management lead in the joint DLR One Railway development of electronic Events and Closure diary programme and any event planning projects initiated on the DLR. The post holder will be the single point of contact within Serco Docklands for event planning and will regularly meet with external stakeholders including venue and transport operators ensuring that the correct information is used and communicated.

The role will proactively manage and prepare a list of lessons learnt, risks & actions and will produce high level debrief reports to ensure that all feedback is accurately captured and incorporated or rectified in future events.

Principal Accountabilities:

- To lead and coordinate the planning of events and special services for the DLR.
- Produce Operational Plans for all events and special services
- Ensure that all parties are sufficiently engaged & briefed in order that they are fully prepared for each event
- Lead and organise planning meetings, testing sessions & workshops and post event reviews.
- Play an active role during events to identify & track resolution of issues, monitor plan adherence and to support daily de-briefs where necessary.
- Regularly engage with external stakeholders (e.g. ExCel, CAW, LLDC, London Boroughs etc.) and DLRL to ensure that all plans are agreed and based on the latest information.
- Specify train services & resources where necessary to ensure that adequate capacity is available for predicted increases in passenger demand due to an event.
- Organise and coordinate special trains & passenger charters.
- Ensure that all work produced is to a high standard, is subject to quality checks and aligns with all timetable information.
- Planning and designing the programme for event planning & delivery and proactively monitoring its overall progress, resolving issues, identifying risks, evaluating cost & resource implications, initiating corrective action where appropriate.
- Planning and participating in internal communications programmes
- Use personal judgement and initiative to develop effective and constructive solutions to challenges and obstacles.
- Ensuring the effective communication throughout the department and the organisation
- Provide strategic and operational input to meet performance improvement objectives and service targets Knowledge, Skills and Experience:
- Knowledge of Serco Dockland`s contractual relationship with DLRL
- Good understanding of all DLR services, operations, engineering & infrastructure.
- Ability to chair meetings & workshops and to communicate event plans to all levels within the business
- Ability to produce high level reports and summaries for use by senior managers.
- Skilled and fluent in the use of Microsoft Word, Excel and PowerPoint, plus email software as is currently utilised by Serco Docklands.
- Confident, persuasive and professional approach.
- Excellent planning and organising skills, able to produce a high standard of work within short time scales, attention to detail and quality deliverables is an essential requirement for all elements of this post.
