JOB DESCRIPTION

The EMEA Corporate Meetings and Events Team consists of 15 people. This role involves working closely with the event managers to provide full assistance on conferences and events. Primarily this assistance relates to working on the event-specific databases, managing event collateral, delegate management and supporting the event planners to deliver events as required. There is also some stand alone event delivery included as part of the role.

KEY RESPONSIBILITIES

- Input and maintain client and event details into the databases
- Sending confirmation letters and emails to delegates and managing delegate attendance
- Onsite assistance as required
- Prepare name badges, table and place cards for functions
- Booking air travel and currency for event planners travelling to conferences
- Running status reports from on line registration systems
- Maintain inventory of stock for department and order branded conference materials
- Arranging collation and shipping of event materials to the appropriate venues
- Picking up and managing small events as directed from inception to completion.

SKILLS, KNOWLEDGE & EXPERIENCE

- Experience in corporate event management, ideally in a global financial services environment
- Ability/flexibility to manage an event database confidently (training on databases will be given)
- Superior oral and written communication and analytical skills
- Accuracy and attention to detail is imperative in this role
- High level of creativity, ability to think "outside the box" and to multi-task
- Ability to manage complex internal processes
- Demonstrate solid leadership skills and attributes, has a high level of energy and integrity, demonstrates respect for a diversity of opinions and styles, and is not afraid of accountability and responsibility
- Ability to think strategically, execute quality output under tight deadlines and work extra hours as needed
- Highly motivated, flexible, enthusiastic, innovative and creative with required determination to achieve results through initiative and common sense
