Documentation Administrator

The Documentation Administrator will be responsible for handling and managing the administrative duties of the Update Docs Team. The Update Docs Team is responsible for handling and managing the GPS legal documentation for the Bank's Europe, Middle East and Africa division (EMEA) existing clients. The role includes a considerable element of electronic messaging, storage and researching, so a solid knowledge of PC skills is required, as are good organisational skills liaising with associates from Sales, Client Services, Implementation, Compliance and GTRM as well as the GPS client base. Investigations against a clients file will require the candidates to access the Internet

Responsibilities
o E-mail inbox maintenance and managing communications for the team
o The candidate will be responsible for logging information that is received into the team on the same working day, and also making sure that there are no duplications of information.
o Processing of queries and issues raised
o Electronic filing, copying and distribution of completed documents
o Managing our off-site filing process with third party vendor
o Scanning responsibilities
o Liaison with Implementation, Clients, Client Services and or Branches.
o Collation of data regarding the team's activities for reporting purposes
o Defining and improvising the role process and procedures.

Core skills and requirements
o The role includes a considerable element of electronic messaging, storage and researching, so a solid knowledge of PC skills is required, especially Outlook and Access.
o Excellent organisational skills and accuracy are required. Candidate should be client focused and results driven as there will be targets that haft to be meet.
o Strong team player - to ensure the successful coverage for all lines of business and client classifications.
o The candidate will need to show enthusiasm, commitment and a willingness to take on new roles and responsibilities and also be able to adapt to other task if asked.
o The candidate will need to be able to work on there own without supervision for some parts of their role and also use their initiative to complete tasks.
o Language capabilities are not essential but are an advantage.
o Knowledge of the Cash Management business would be an advantage as would any experience of FSA regulations or AML gained within a financial institution
