A market leading offshore wind farm operartor is currently looking for an Experienced Document Control Manager for their project office in the South West.

As the Document Package Manager you will be the key member of the Document Control team, the Document Control Manager is responsible for the administration and management of the Electronic Document Management System (EDMS) which is used to control and store all project documentation exchanged between the internal project team and selected external partners. The Document Control Manager position is an essential role and activity with respect to the efficient operation of the project, ensuring the implementation of essential controls for document management.

Principal Accountabilities:
- Manage the day to day work of the document controllers, and ensure consistent approaches are applied

and adhered to across the project.
- Developing the processes, procedures and management plans for managing information flow across the

project
- Processing the issue, storage and retrieval of project documentation internally or externally produced

using the EDMS
- Provide document control services to the project team to maintain the timely flow of project documents

within the EDMS
- Expedite critical document transactions between internal and external organisations including approvals

bodies, by monitoring transaction timescales, actively driving the request and receipt of
certification/approvals and contractually important documents as directed by Package Managers.
- Maintain a detailed record of critical document progress at an individual document level, and by

publishing a weekly report for Senior Managers
- Internally expediting all critical documentation to ensure that it is reviewed and returned to the

contractor/supplier within the agreed timescales.
- Expedite missing documents by chasing originators via email, telephone calls and meetings.
- Co-ordinating with Package Managers on a daily basis to ensure critical documents are obtained

distributed and retained correctly
- Actively manage the processing of project documentation utilising internal resource and the EDMS. -
- Co-ordinate with Package Managers to ensure the organised exchange of documents with co-workers,

contractors or vendors.
- Act as a point of contact for all internal and external organisations with respect to document control

issues relating to the programme.
- Maintain a controlled hard-copy filing systems for accepted wet signature' documents.
- Produce and maintain specific site documentation logs and records using EDMS & spreadsheets for:

o correspondence
o risk assessments and method statements
o site diaries
o minutes
o stakeholder complaints
o Technical Queries, Requests For Information etc

Skills & Experience:

Essential:
Extensive experience in document control/management, ideally with involvement in construction, power, oil & gas projects across multi-disciplined areas. Experience in the day to day management of document controllers/administrators.
IT literate, particularly with the management of data bases and bespoke corporate software packages.
An understanding of the roles of document control and document management within an engineering and major projects organisation.
An understanding of corporate documentation and policy based systems.
It is essential that the candidate is a self-starter' with the ability to, prioritise completing deadlines,
work well within a team and to strict timescales.

Desirable:
To have obtained experience in Document Control on major engineering or IT projects, particularly multi-contract offshore wind projects.
