Transport for London is one of the capital's largest landowners. We own around 5,700 acres of land across the city - from listed buildings, tube stations and depots, to railways, highways and brownfield sites. Our Commercial Development Directorate has been established to drive forward ambitious and creative ways to increase the income we receive from our assets.

Role scope:

To be part of a specialist Commercial Development team to deliver property services relating to TfL's commercial property portfolio for the purpose of maintaining, analysing and reporting data relating to the property portfolio. To work collaboratively with members of the Asset management and Property Management teams to ensure that property data is captured, input to relevant systems, monitored for data accuracy and to produce periodic reports as required. Support the Head of Commercial Asset Management and communicate effectively with clients and colleagues across TfL.

Key Accountabilities:

1. Deliver data services including;
- Capturing and inputting all data in to the relevant systems generated from property transactions such as lettings, lease renewals, rent reviews, licences and tenancies at will
- Similarly capture and input data for other contracts required to be held on the identified system
- Capturing and inputting other property information such as floor areas, rental and capital values
- Produce periodic reports such as the number and volume of new contracts, their value, data entry completeness and variances against KPIs.
- To manage and monitor the flow of information from surveyors and others within Commercial Development who manage contracts and other activities that generate data that will be captured and reported
- Dealing with surveyors enquiries around the processes associated with capturing data

2. To plan and prioritise work effectively to ensure data is captured and input to the relevant systems. To liaise with credit control in respect of receipt of rents and the reporting of debts.

3. To produce periodic reports and attend meetings to present those reports.

Key interfaces:

- Develop close working relationships with the Commercial Development teams and others who mange contracts and other activities that generate data to be captured
- Enhance stakeholder relationships within the Commercial Development Directorate and build productive relationships across the client organizations such as TfL, London Underground, Surface Transport, ELLX and LBSL
- Maintaining good staff relationships within the property team and the wider commercial development teams. Actively take part in team meetings promoting ideas and sharing learning
- Good working knowledge of property management systems including SAP Real Estate
- Techniques for the management and reporting of large volumes of data.
- Good IT Skills - a sound knowledge of Microsoft Office package.

- Identifies important relationships and assists the [Head of Property Management] in developing them. Shares knowledge with others

Experience:

- Capturing and managing data on a large, mixed property portfolio
- Inputting data in a consistent, accurate and timely manner.
- Producing reports against KPIs and service level requirements
- Good knowledge of property markets and the management of large property portfolios
