Title: Compliance Executive

Location: Buckinghamshire

Job Accountabilities:

To positively contribute towards increasing the company's financial results and the appropriate use of products by:

Working with internal stakeholders in developing, implementing and maintaining company policies and procedures covering activities governed by the ABPI Code of Practice for the Pharmaceutical Industry and the IPHA Code of Marketing Practice for the Pharmaceutical Industry. In addition, ensuring these activities, processes and procedures comply with the code of Conduct, Group Policies and Guidelines and national legislation (including both UK and IE advertising legislation).
Providing central guidance and training on the ABPI & IPHA Code of Practice.
Providing advice and support to internal stakeholders, including front-line sales teams, on promotional and educational activities.
Driving employee commitment to continuous improvement & best practice in the area of marketing compliance.
Overseeing and managing the Zinc MAPS system for promotional material review and approval.
Providing oversight to management on the marketing compliance status of the affiliate activities.

Job Content:

Role tasks:

Policies and procedures: Assist in developing, managing and implementing UK/IE company policies and procedures to meet statutory, quality and business requirements for all aspects of promotional activity.
Developing & maintaining procedures for activities governed by the Marketing Compliance unit.
Training: Arrange training of UK/IE employees on company procedures for promotional activities and the ABPI & IPHA Codes of Practice, as required.
Systems: Oversee and manage all aspects of the Zinc MAPS system both internally and externally.
Compliance: Maintain register of UK Company signatories.
Best Practice: Maintain current awareness of legislation and regulations governing promotional activities in the pharmaceutical arena, in addition to Code of Practice updates and cases. Utilise these insights to ensure people and procedures are in compliance with latest requirements and best practice.
Review: Code of Practice and regulatory check of Company promotional, educational, corporate and public relations material (when assigned).

Job tasks:

Policies and procedures:

Provide advice on business needs and requirements.
Review and identify gaps in current business tools and practices and lead project teams to implement solutions. Ensure consistency across brands on promotional practices and use of Zinc MAPS.
Provide advice on compliance related issues.
Develop, maintain and coordinate a promotional complaints process to cover inter-company disputes, PMCPA, IPHA and MHRA/IMB complaints.
Training:
Arrange provision of training on ABPI completion of final certification; archiving; & that 2 yearly re-certification is carried out, as necessary.
Compliance:
Update and maintain list of Company signatories for UK and ensure MHRA & PMCPA are notified of any updates.
Support activities around any inspections involving promotional practices.
Establish and manage KPIs related to review of promotional materials and compliance with ABPI & IPHA Code of Practice
Review:
Carry out review of promotional materials for compliance with Codes of Practice and compliance with Marketing Authorisations (when assigned).
Quality Management Systems
Assist with the internal self-inspection programme
Assist in advising internal stakeholders on developing programmes for inspection readiness in the area of marketing compliance.
Process & workplace improvement
Utilise workplace process improvement tools to proactively improve efficiency & effectiveness in the processes for the review and approval of marketing activities

Job Knowledge, Skills and Experience:

Professional competencies:

Degree in Life Sciences, Pharmacy or equivalent experience.
A significant level of experience with the ABPI Code of Practice and Advertising regulations is essential for this role, as is knowledge and understanding of the pharmaceutical industry particularly commercial, regulatory and information functions.
Knowledge of the IPHA code & Irish advertising legislation.
Ideally, familiarity with Zinc MAPs and IT systems such as Word, Excel, Powerpoint and Lotus notes.

Personal competencies:

Excellent organisational and team working skills.
An ability to work with cross-functional teams.
Proactive with strong communication skills and ability to work to tight deadlines in a pressurised environment.

Other:

Other issues of relevance to the role.
It is essential to keep up to date with regulatory and Code changes on an on-going basis. Frequent changes to the legislation make this a demanding aspect of the job.
Fast paced, high-pressured environment.
Imperative to gain co-operation and support of internal stakeholders at the UK/IE affiliate.

Liaisons / interdependencies

Internal: Significant contact with colleagues in Marketing and Medical but the role involves contact with all departments in UK/IE that are involved with promotional practices. Some contact with Corporate Scientific Affairs and Corporate QAMAC (Marketing and Affiliate Compliance).
External: PMCPA, IMB Advertising Compliance unit, IPHA, Trade Associations, Advertising agencies, Zinc MAPS, Consultants on the ABPI & IPHA Code
