Requirement Specification: Two Senior Profiles Needed

Responsibility Assist in the business guidance and support for SharePoint at our customer. The Champion is the main remote contact with the users. He/She provides nearby assistance and in the local language of the end users.

Main Tasks The task can be divided in the following area's Business Support First line support/help. The Business Site Owner may have a functional issue or question. The Champion will help to answer the functional request.

- We expect that the Champion has profound functional knowledge of SharePoint to be able to solve common request.
- The Champion will also have the knowledge in what context the Sharepoint functionality is used, for example how to use metadata or help users with to apply the business governance.

Assistance in the Site Request workflow. Sites are requested via the request form on the Collaboration Hub. If necessary the Champion will guide the requester through the process.

Analyst Description.

Contributes to the drawing up and management of the planning for preliminary analysis and design phase. Performs functional analysis of information systems and draws up the functional design after the pre-study. Supports changes and enhancements from development through production; recommending and implementing system enhancements (eg system performance, screen appearance, report distribution and setup testing). Develops new program requirements and specifications to support specific customer needs and system upgrades and resolves problems with current systems. Analyses service requests to determine feasibility, technological changes, resource requirements and project time estimates. Helps business in realisation of new business cases; coordinate preliminary studies. Meets with users to determine the end users specific needs and feasibility of pending routine projects. Responsible for hand-over to the technical designer. Provides daily support to assigned client base and serves as a liaison between clients and programmers. Identifies, researches, and analyses production problems, develops solutions, and resolves problems. Participates in project work, including analysis and requirements definition and testing. Identifies system enhancements, document business needs and determines development impacts to current system processing and works with programmers and users to ensure accuracy or enhancements. Consults on development and updating of training materials and user manuals and prepares documentation for assigned products. Provides daily production support to assigned system(s) to identify production problems and resolves systems problems. Participates in conversions, mergers, maintenance and development projects, including analysis and testing. Completes special projects, and performs systems testing and other assigned duties

The Champion may play a role in the creation and provisioning of Sites, including the coaching of end users. The Champion will be trained to fully understand the business functions and values of the provided site templates. In addition site creation from templates needs to be done as prescribed by the Governance Policies. Configuration on existing sites. Additional configuration of existing sites may be required. If the Business Site Owner does not have the knowledge or does not have the permissions to do so, the Champion may execute the configuration on the site. Assigning permissions is also included in the configuration tasks. The Champion needs to be trained to be able to configure sites with the browser tool and according to the Governance Policies. Coach and Training When required, the Champion will train or coach end-users and Business Site Owners in the functional usage of SharePoint. Coordination of technical/ICT support When users encounter a technical issue, they may report it to the Business Site Owner. If the Business Site owner cannot resolve the issue, the Business Site Owner will contact the SharePoint Support organisation, ic. the Core Team or the Champion in order to resolve the problem. The Champion may assist in the communication with the Core Team and/or IT

Helpdesk. Unless the Champion has technical expertise, we do not expect that the Champion will provide technical support. This is delegated to ICT operational support. Internal promotion. The SharePoint Platform needs further promotion at all levels of the organization. The Champion may help in this promotion activity. Hence the Champion needs to act aligned to the central promotion strategy. Passing feedback to the Core Team The Champion plays a strategic role to detect issues but also new opportunities where Sharepoint can optimize the working methods and attitudes within the organisation. The Champion should exchange and discuss ideas with the Core team to enable these improvement cycles. Competences Sharepoint Profound functional knowledge of SharePoint. List/library Settings functionality (using content types, metadata, views, and other settings) Basic Site Settings functionality (navigation, recycle bin, Site Hierarchy, Portal Site Collection, People and Group, Site Permissions, Site columns, Site Content types) Page editing, webpart usage on page, webpart settings (SP2013 includes usage of Apps) Regional settings and languages, user alerts Standard Sharepoint Workflows (and -if applicable- Sharepoint Designer Workflows) Search usage, search webparts Metadata store (term definition, term usage in metadata) Social functions, Mysite One Drive, Community usage Customer Specifics

SharePoint specifics "Portaal" and Publishing: navigation, page layouts/templates, page editing & publishing Collaboration: Collaboration hub, usage of easite templates, Multi language set-up, Metadata, Metadata store, Content types, Specific Developments/Configurations: Apps, Business Governance, User Adoption guidelines and procedures, Knowledge on the business context.

Other Competences

Since all communication with the Core Team is in English, a good knowledge of English (spoken, written, read) is required. Profound knowledge of the local (user) language(s),since the Champion will act as the main contact for the local user base. Good communication and negotiating skills are required to allow an effective support. As for any support function, users may be frustrated or disappointed, the Champion needs to remain calm. User may demand new requirements/functionality. The Champion needs to be capable to convince the user that his/her OOTB solution will solve all or most of the business issues. A main part of his/her function is talking to people at all levels of the organisation, to whom he/she needs to "evangelize" the new way of working. Presentation skills (for coaching/training/
promotion) Analytic skills. Users will come with issues. The Champion will need to analyse the issue and come with solutions quickly. For site requests and configuration, users will express a requirement. The Champion needs to present a solution based on OOTB functionality. Result driven Results before technology. The Champion must have a practical approach to resolve requests

Team player He/She works in a "virtual" team. She/he needs to be a real team player so that the execution quality/results are similar across Champions. Motivated

Expected workload

Depends on the geographic area and number of (potential users) the Champion needs to support. We expect a minimal workload of 15% per week on average.
