Business Support Officer

Projektbeschreibung

Accountabilities:
For all placements provide pro-active, accurate and comprehensive support to the local managers and teams
Provide local expertise in the key IT based applications
Create, maintain and update MS Excel spread sheets, PowerPoint presentations and MS Word documents accurately and timely.
Understand & utilise Company IT systems ie SAP, ORCA, DOORS, 4Cast, PDM, Collage and other specialist tools and databases
Problem solving as required to ensure smooth running of the domain
Participation in UK Support Function initiatives and personal development initiatives
Championing a cost conscious approach to the delivery of UKSF supported activities
Discretion when handling personal and Company data

Dependant on placement, carry out duties as required, including but not limited to:
Provide accurate control and maintenance of electronic diaries for identified managers
Arrange travel (including currency) for identified managers
Provide meeting co-ordination and participation
Provide management and maintenance of email for identified managers
Co-ordinate arrangements for on-site or off-site meetings and events, attend and participate as required Administer expense forms for identified managers, submitted in a timely manner
Provide specific support to the Project and/or functional teams
Specific tasks and projects to be defined in the workplace
May include documentation, archiving, and other tasks specific to the domain
Provide general business support to the Project and/or Functional teams
Assist the general engineering project and/or functional population to optimise efficiency throughout the business
These tasks may be varied and ad-hoc in scope
Maintain and analyse data, create reports and present findings

Performance Indicators:
For all placements
Proactive delivery of service to the assigned domain
Recognised as a team player who will provide assistance and support across a wide range of activities or tasks
Develop to become 1st point of contact on relevant software applications
Complete cover provided (with other UKSF staff) for planned absence
Discretion and confidentiality maintained.
Participation and Progress on UKSF and personal development initiatives

Dependent on placement:
Diaries managed effectively and accurately
Travel arrangements made accurately in compliance with policies
Meetings arranged, supported and delivered to the satisfaction of management
Visits and events arranged supported and delivered to the satisfaction of management
Emails managed effectively
Expenses completed accurately and on submitted on time
Timely and efficient service provided to the business
Material prepared and delivered on time to the satisfaction of the manager/team

Skills and Knowledge:
For all placements
Formal qualifications ideally up to degree level or equivalent experience
NVQ Level 3 in Business Administration or equivalent business experience
Intermediate level of Microsoft Outlook, Excel, PowerPoint and Word
Good awareness of our operation, policies, processes and products
Experience of working in a support function across a range of support and administrative activities
Good written and verbal communication skills using accurate spelling and grammar
Excellent time management and prioritisation skills
Self-motivation and ability to adapt to changing environment and evolving technologies
