JOB TITLE: BUSINESS ADMINISTRATOR/ADMINISTRATIVE SUPPORT

LOCATION: PORTON DOWN, SALISBURY

CONTRACT: 6 MONTHS (WITH POSSIBLE EXTENSION)

RATE: UP TO £190 PER DAY

EXPERIENCE:

- 1 - 2 years general administration experience, with a quick to learn attitude.
- Minute taking but not essential.
- Communicate effectively using good customer service skills.
- Competence in using Microsoft office software products, specifically Word, Excel, Powerpoint and Outlook.
- Good time management and the ability to prioritise competing demands.
- Experience of delivering trusted, high level administrative support in a relevant environment.
- Customer service experience.

RESPONSIBILITIES:

- The Administrative Support Team Member is responsible for providing professional administrative support to the business.
- Provide professional administrative support services, maintaining and enhancing the reputation of BAS.
- To meet mandated information assurance requirements through adherence to relevant policies, guidance and processes;
- To maintain an effective interface with other functions and the FM/IS Service providers to ensure ability to deliver the full support schedule. With reference to the MS and BAS A-Z ensure understanding of all processes relevant to role to ensure the delivery of consistent and effective administrative support.
- Under guidance from the workplace supervisor and working as part of a team ensure the office working environment meets mandated SHEF requirements.
- To work effectively as part of a team to ensure provision of administrative support within core delivery hours.
- The contractor will be required to check stationery isat stations and report any requirements for stationery demands.
- Deal with customer walk ups, emails and telephone calls on a daily basis.
- Work as part of a team to ensure customer deadlines are met.
- Use of outlook to obtain work tasks from the customer community from a central inbox.
- Printing of meeting room notices and delivery of these to the relevant meeting rooms on a daily basis.
- Burn data to CDs.
- Scanning of classified/non classified material.
- Shredding of customer classified/non classified material as when required.
- Archive material for forward transmition to TNT, incorporating quality checks and fully adhering to Business Administration (BAS) processess.
- Booking in/out of classified material (documents, CDs, USBs etc) into Electronic Registry System (ERS).
- Monitor and check customer holdings which are held in ERS which includes organising a meeting via outlook calendar and face to face interactions.
