THE CLIENT Our client is a private international investment management firm existing for more than 30 years. Having offices on almost all continents, this firm has a solid expertise in financial market. In order to support the Zurich and Amsterdam team, they are looking for a part time ASSISTANT/OFFICE MANAGER who will be involved in the daily activities of the offices and will report directly to the top management. THE ROLE You will be responsible for different tasks, from clients support to office management: *Ensure the secretarial duties from the Zurich office, with a global support to the Amsterdam office *Deal with emails, mails, mass mailings, calls and courier service *Manage the global office supply (stock, contact with vendors) *Handle travel request and travel booking *Support payment and expenses processes *Preparation, realisation and formatting Power Point presentations *Deal with clients basic request and provide them with relevant support *Ensure some reception tasks (incoming calls, welcoming visitors) *Daily contacts and collaboration with the US office *Support into the set up and organisation of clients events (business events, annual conferences, etc.) *Maintenance and management of the database *Ad hoc support and IT related help THE REQUESTED PROFILE *Professional experience of min. 4 years in a similar role, within a financial institution/asset management firm *Positive and dynamic attitude, multitasks and polyvalent *Service and team oriented, able to work in a small office and to support international colleagues based in different offices *Strong organisational, presentation and communication skills *Capable to prioritize tasks, to adapt workload and schedule according to the need of the offices *Quality driven and ability to pay attention to detail *IT literate, very good with MS office *Fluent in German+English (daily use at work), additional languages is a plus (Dutch and/or French) THE OFFER Challenging and stimulating environment, this firm will offer you a role where flexibility, respect and quality are key.
