AS Investment Planning (IP 2016)
Demand Planning / Forecasting
SERVICE
Be the point of contact for BUIT during Investment Planning (Business Planning) for EMEA Pharm SC and EMEA MD SC.
Derive the AS EMEA 2016 Investment Plan and record the 2016 projects in Clarity, as such generate a balanced 2016 Project Portfolio.
RESPONSIBILITIES (Actions)
•Participate in Investment Planning meetings with BUIT
oInvolve functional teams per business domain
•Balancing the Portfolio
oEstimate per initiative:
Consult functional teams per initiative
Collect impact per functional team to come to an Estimate
Provide the Estimate to BUIT (+/- 30%)
Update the demand picture in FTE per project, per functional/technical area, per platform, per month.
Take the necessary actions to smoothen peaks as much as possible through interacting with BUIT and AS
oFormulate proposals towards AS and BUIT to optimize resourcing and costs by clustering projects
oAssess the impact on the current portfolio against constraints and co-ordinate to reduce those constraints
Maintain Demand - Capacity
Demand Planning / Forecasting

SERVICE
Maintain changes on the Project Portfolio level such as BUIT Demand changes or take in additional Unplanned Demand.
Generate monthly updated Demand - Capacity plan per the same output as for the initial investment planning output.

RESPONSIBILITIES (Actions)
•Participate in the monthly Portfolio Governance meetings with JSC BUIT
oInvolve functional teams per business domain
Plan / Make / Source / Deliver / Finance / BW
•Co-ordinate demand planning meetings with the directors of JSC and AS representatives on a monthly basis.
oPrepare the meetings, run the meetings and provide minutes and action plan.
oFollow up on actions
•Assess the impact on the current portfolio against constraints and co-ordinate to reduce those constraints
oManage the project Demand (Project Portfolio)
oDetermine AS SC EMEA Capacity needs (Resource Plan)
Assess the impact on Capacity level and update Capacity plan accordingly

•Monthly Balanced AS EMEA SC project portfolio
•Portfolio reporting
oProject list
Maintain and publish (monthly)
•Updated Start - End dates
•Updated effort distribution per functional team (FTE / Month / Team)
oPortfolio Demand Churn report
Detailed list of projects that have been updated during reporting period (monthly)
Quarterly report summary of demand changes versus initial investment plan
oCapacity Plan
FTE plan per project, per functional/technical area, per platform, per month updated monthly with the latest information and accessible for all functional/technical areas.
Demand Intake
SERVICE
Take in the individual Projects being part the Project Portfolio or additional ad hoc initiatives (Unplanned Demand).
Evaluate if the projects are part of the AS Portfolio.
In case the initiative cannot be delivered by AS SC (not in the AS Service portfolio), reject the project request and motivate the reasoning to the BUIT requester.
In case we do take in the project; initiate an Assessment and communicate the outcome (Offer) to the BUIT requester.
Generate monthly updated Demand - Capacity plan (FTE / Month / Team) based on the detailed assessment outcome.
RESPONSIBILITIES (Actions)
•Be the point of contact for BUIT for individual project intake
•Determine if the project is part of the AS SC portfolio or not.
•Review initiated projects in the ASOE tool
oIn case the initiative is linked to the known Investment Plan
Accept and trigger an Assessment
oIn case the initiative is not aligned with the Investment Plan
Check the request and seek BUIT approval on Portfolio level before starting an Assessment

DELIVERABLES (KPI's)
•New project services accepted as an ASOE entry
oValid portfolio reference per project available
•In case the new Demand cannot be accepted; Motivated communicated to the requester.

ASSUMPTIONS (Prerequisites)
•BUIT has availability to ASOE
Assessment coordination
SERVICE
Manage new Assessments and communicate the outcome (Offer) to the BUIT requester.
In case the initiative cannot be delivered by AS SC (not in the AS Service portfolio), reject the project request and motivate the reasoning to the BUIT requester.
Update the Demand - Capacity plan (FTE / Month / Team) based on the detailed assessment outcome.
RESPONSIBILITIES (Actions)
•Put new assessments on the weekly Master Planning meeting agenda and drive towards away forward.
•Consult functional team managers to determine which functional teams have to be involved in executing the assessment
•Determine Assessment lead per new initiative
•In case, I'm the lead
oOrganize an intake meeting with involved functional teams where BUIT can explain the requirements
oFollow up on Assessment progress
oCoordinate cross functional team reviews on the assessment outcome
oIf applicable, organize review meeting with responsible Delivery Director
oProvide the outcome to BUIT
Scope / Assumptions / Pricing / Proposed timelines
•In other cases, follow up on progress of assessment.
•Be the SPOC for all cost estimate sharing from AS with BUIT
oCommunicate assessment outcome to BUIT requester

DELIVERABLES (KPI's)
•Actual list of running Assessments and status updates
•Documentation per Assessment on a central AS share point folder, accessible for all functional/technical area's

ASSUMPTIONS (Prerequisites)
•The Demand process is being followed as described; new demand, not on my radar is out of scope
•SME's are available to execute the assessments

Global DMO
SERVICE
Represent EMEA SC in the global DMO organization.

RESPONSIBILITIES (Actions)
•Participate in the weekly standing meetings
•Take responsibility on regional topics and coordinate the necessary actions to address requests
•Provide feedback on regional topics to the global DMO team and act on regional behalf (regional representative on the global DMO)

Metrics
SERVICE
Collect the monthly Operational Project related Metrics and drafts the monthly Performance Review slide deck.
Assist in the quarterly analysis and draft feedback to Senior Management level.
Incorporate new and changing reporting needs into the reporting process.
RESPONSIBILITIES (Actions)
•Trigger data collection on project reporting
•Review and analyze collected data
•In case of unexpected measurements, ask detailed feedback and write motivation
•Draft the monthly Performance Review slide deck
•Review with Senior Management and update if required

DELIVERABLES (KPI's)
•Monthly Performance Review presentation

ASSUMPTIONS (Prerequisites)
•Reporting data is being provided
•Additional or changing reporting requirements are clearly defined
Mgnt support - ad hoc analysis and process work
SERVICE
Determine impact on Process changes or changing Tool environment on the current status.
Propose Process / Tool improvements and connect wiht the different key stakeholders to determine an implementation plan.
RESPONSIBILITIES (Actions)
•Connect with global DMO and Regional continuous improvement initiatives
•Determine Current state related to: guidelines, processes, tools, resources and organizational structures
•Generate improvement ideas and workout improvement proposals
•Give feedback to stakeholders such as Regional Senior Managers (LT meetings) and Global DMO or other organizations
•For selected projects; work out rollout plans on regional level
•In some cases, manage the regional improvement projects

Technical skills:
*+7 years of experience in Supply chain projects, also with SAP

Personal skills:
*Being able to summarize and present solutions / issues in a very concise way
*Being able to connect and get things done without hierarchical oversight
*Ability to drive resolution for challenging requirements by bringing in teams together - both company's internal partners and external vendors
*Global mindset - ability to work across multiple countries and cultures.
*A Change Agent with a high tolerance for ambiguity

* Some flexibility in working hours is required
* Must be able to work on multiple simultaneous tasks with limited supervision
* Quick learner, motivated self-starter
* Excellent customer service, interpersonal, communication and team collaboration skills
* Able to follow change management for internal guidelines
