Projektbeschreibung

Harvey Nash is looking for an Administrative Specialist/Expert for a 6 + month project in Switzerland.

The role is for a candidate to independently taking care of general administrative tasks and maintaining the administrative processes also in case of absence of the line manager/team members.

You are responsible for

. Responding to and initiating inquiries (questions regarding purchasing, personnel, facilities, administration, specialized programs, etc.)
. Explaining policies, answering questions, and independently resolving problems whenever feasible
. Preparing draft presentation materials for use by others, editing content and adding appropriate graphic and design elements
. Composing and/or preparing correspondence, memoranda, promotional materials, forms, newsletters, manuals, and reporting using appropriate word processing and spreadsheet tools
. Performing basic statistical calculations on data for reports and presentations
. Planning, prioritizing and scheduling meetings and appointments for Program Leads and other team members
. Performing specialized administrative duties required to support the specific program area, using discretion to make judgments based on operating guidelines
. Supporting purchasing requirements for department, researching items and obtaining price quotes, checking invoices, entering information into systems, receiving purchase orders, and maintaining information as required
. Arranging and coordinating travel and travel reimbursement for staff
. Compiling and maintaining information that may require web or library researching, gathering, compiling, and updating data and records as well as SharePoint administration
. Supporting optimization of current processes and/or introduction of new or modified processes.
. Acting as a team member for administrative projects (eg organization of special events) and managing the administrative part of special tasks

Requirements

. This position requires a high school diploma or equivalent, with at least four years of experience in an office or administrative support position
. Experience as Administrative Specialist" or additional career training
. Languages: Good written and spoken English; Knowledge of other languages (eg German) advantageous
