Administrator/Support officer

A leading organisation is currently looking for an Administrator/Support officer

For an initial 3 month contract.

As Administrator/Support officer you will be responsible for:

- Provide cover for the reception desk including answering calls and meeting and escorting any visitors. Provide a pro-active level of customer service by identifying issues raised by customers and providing satisfactory resolutions where appropriate.
- Provide admin and secretarial support to the Directorate's management team as required. Manage and prioritise incoming correspondence (including emails, complaints) for the Director and follow up and coordinate responses as required.
- Manage the diaries of senior staff in the directorate including scheduling meetings and booking rooms.
- Provide PA support to the Directors as required including acting as first point of telephone contact.
- Liaise with the Travel Office and organise business trips including planning and organisation of itineraries, liaising with external contacts and resolving any issues which may arise.
- Take and distribute minutes for meetings as required.
- Act as a secretary to bespoke project boards.
- Ensure the timely production of papers for meetings as required, where appropriate proposing items for agendas and ensuring that actions from previous meetings are completed.
- Obtain quotes and raise Purchase Orders for non capital expense items using the in-house system.
- Order stationary for the Directorate and maintain stock control.
- Assist with the implementation of Records Management/asset management policies as required.
- Comply with the Health and Safety Policy, accompanying codes of practice, official guidance and statutory requirements.
- Carry out DSE assessments as required throughout the directorate. (training will be provided)

TO BE CONSIDERED FOR THE Administrator/Support officer position you will need experience in the following areas:

- Good administrative skills with experience of administrative processes and procedures
- Communicates clearly, concisely and effectively at all levels both in writing and orally
- Good secretarial and basic PA skills including diary management and minute taking
- Excellent customer service skills, including a professional and helpful telephone manner and the ability to resolve a range of customer issues at the point of contact
- Ability to use own initiative in relation to pieces of work and projects within given parameters
- Excellent organisational skills with the ability to work to deadlines in a disciplined manner in a busy environment
- Ability to contribute to and work well within a team
- Intermediate Knowledge of Windows based applications, including Word, Outlook and Excel
- Proactive and flexible approach to work with the ability to work on own initiative and use discretion
- Provide any other support/administrative tasks as required by the Office Manager

DESIBLE SKILLS

- A basic appreciation of the language and technical terms to accurately report on the contents, actions/outcomes from boards and meetings
- Familiarity with a telecommunications and/or IT infrastructure environment.
