Job Title: AdministratorLocation: Defence AcademyInformation: Testing will take place for shortlisted candidates on the 1st August. Successful candidates will then be invited for interview on the 2nd August.

Part of the Defence Academy, the Joint Services Command and Staff College (JSCSC) trains the future commanders and staff officers of all three UK Armed Services and those from many countries around the world.

We have an excellent opportunity for an enthusiastic Administrator to assist in the efficient running of an administration office under the instruction or guidance of a Lead Administrator or Specialist Co-ordinator.

General Duties and Responsibilities:

Actively engage with induction processes to ensure the successful completion of own and colleague's probationary periods.

Assist Lead Admin/Specialist Co-ord/Team Leader or other departmental staff to undertake all required admin tasks.

Amendment and maintenance of any assigned spreadsheets and databases.

Active participation at meetings and production of action notes as required.

Liaison with visitors to establish their transport, AV, accommodation, catering needs and subsequent booking of any requirements and arrival on site/to department

Booking of refreshments and hosted lunches

Maintaining adequate stationery levels and re-ordering as required.

Review and update any assigned work instructions relevant to your role.

Compilation of detailed Monthly Performance Report allowing the Team leader to write a truly reflective monthly report to the Supervisors/Admin Services Manager

Specific Duties and Responsibilities:

Load students onto the RAFD student database either via a telephone call or an application. Allocate them to the required course as per the policy in the AP 7000.

Hasten responses from potential students regarding their acceptance onto the course as well as chasing their Personal Particulars Proforma (PPP), biography and any pre-course work that needs be submitted.

Update the student database after every telephone call/application received to ensure we have the most up to date student information.

Update and distribute course material to students and staff as required.

Prepare Nominal Rolls, Syndicate Lists, Course Handouts, Welcome Packs. Seating Plans and Name Badges.

Assist your Lead Administrator with processing Essays through the plagiarism software and pass on the full report to the Trg Officer.

Qualify Officers who have successfully completed their course on the Joint Personnel Administration (JPA) system.

Ensure stationery budgeting is completed; equally sharing the costs between the 3 RAFD Cost Codes as directed.

Knowledge and Experience:

Good level of education, preferably with GCSEs (A-C) or equivalent in English and Maths

Excellent communication skills (spoken, written, behaviour)

Ability to work in a team environment or individually

Good interpersonal skills

Previous Administration and/or Secretarial experience (either paid or voluntary) - desirable

Knowledge/understanding of general office practices - desirable

PC literate, with a good level of experience in MS Office including Outlook (essential), Word (essential), Excel (essential), and Power point (desirable)
