Administrator - Financial Services - Banking - Microsoft Office 

PTS's Client a large Financial Organisation are seeking an Administrator which includes financial aspects and support roles to managers as well as general office duties. The post holder is responsible for taking a lead in the operational management of the administrative elements in partnership with the Management Team. The post calls for close co-operation with managers, staff, and other internal services. The post holder will also be required to communicate with external customers. 

KEY ACTIVITIES AND AREAS OF RESPONSIBILITY:

- Responsible for the smooth running of the administrative service ensuring high standards at all times.
- Assist in production of financial information for the management team
- Coding supplier invoices, entering invoices into system, following up invoices
- Liaising with suppliers 
- Keeping records and activity of budget v actual
- Managing incoming and outgoing post
- Order office supplies, to ensure that stock levels are maintained using the appropriate ordering systems. Overseeing stationery and other office orders
- Taking minutes and implementing action points. Present accurate documents from notes taken by yourself or others eg at management team meetings/off site meetings.
- Using manual and/or electronic information systems (including database systems where provided) store, retrieve and archive information following agreed procedures ensuring the provision of information in the agreed format and within agreed timescales 
- Build positive working relationships with internal and external customers to identify and deliver services to meet their needs.
- Monitor the maintenance of the building to ensure that health and safety requirements are met, and work with the Management Team to address issues
- Produce and cascade any reports required
- Dealing with telephone and email enquiries 
- Word processing

- Ensure your own actions reduce risks to health and safety in the workplace
- Assist the Management Team in identifying health and safety issues in the building and ensuring health and safety issues are implemented appropriately and promptly
- Undertake any other such duties as may reasonably be requested by your line Manager

Skills/Qualifications

THE FOLLOWING IS ESSENTIAL:

- Confidentiality as the person will have access to salary detail
- You will have previous administrative or secretarial experience as well as being a proficient user of Microsoft Office.
- Numerate with excellent attention to detail.
- Possess excellent communication and organisational skills as well as being flexible about working round several deadlines at once
- Show evidence of organisational skills, planning skills, the ability to manage conflicting demands and prioritise tasks and have excellent oral and written communication skills
- Reliable and patient

THE FOLLOWING IS DESIRABLE:

- Degree-level qualifications. However, entry without a degree or HND is possible with relevant work experience.
- PA/secretarial support to senior management teams
