A global market-leading telecom vendor has an urgent vacancy for an ambitious and reliable Administrator to join a new project based in Belgium to begin in Feb 2016. This is a long-term vacancy and fantastic opportunity to join an exciting and forward-thinking telecommunications project.

The successful candidate must be fluent in FRENCH AND ENGLISH (Flemish is a plus but not mandatory). You do NOT need previous administration experience in telecommunications.

PURPOSE OF THE JOB

As an Acquisition Administrator you will handle and check daily administration, data and mail in the Acquisition department in a timely and correct way as agreed with internal and external customers. Deliver administrative project support in order to meet the needs of the contract with the internal and external customer or institutions. The job also requires coordination abilities to coordinates small projects such as Lease Registration

JOB DESCRIPTION

- As an Administrator you will be administrating data handle and check administrative requests in a timely and correct way.
- Able to push - pull subcontractors and Acquisition deliverables
- Archiving; register all documents and file archiving according procedures.
- Handle incoming emails + mail and dispatch to correct persons/department. Scanning of documents and saving of all project related documents on the network including uploading on customers Network Library. Downloading documents for internal server and customer Network Library when needed. Create and maintain data files and documentation according client processes in order to have a good access to all properly stored data.
- Document creation: creation of Site Access Files in customer application and update if needed.
- Take care of timely and correct reporting on administrative progress in relation with project follow-up and continuously improve the quality of the administrative service in agreement with the WLA/SLA.
- Exchange of concrete information and answer questions of internal and external customers with respect to correctness of the data.
- Support Team in handling administrative tasks and documents to bring sites to Final Acceptance making sure all required documents are provided, checking the naming conventions. This may require the knowledge of Flemish and French language
- Coordination of the Lease Registration Process, weekly contacts with notary. Triggering the payments of fee for such notary or to Belgian communes. This also requires the use of either French or Flemish.

COMPETENCE

- Basic level of administrative education with few years of experience
- Organizational & planning skills
- MS Office (with good knowledge of Excel)
- MS Outlook
- Knowledge of SAP is a plus
- Fluent in French/and English (both spoken and written). Flemish is a plus
