We may rotate administrators between posts in order to broaden their knowledge base and adopt best practise in their workplace. This will enhance our ability to provide a high level of service delivery during times of high workload, or absence/gapped posts where we will be able to call on staff to assist their colleagues.
Duties to Include
Assist Lead Admin/Specialist Co-ord/Admin Co-ord or other departmental staff to undertake all required admin tasks
Active participation at meetings and production of action notes as required
Typing, Word Processing, Filing, Photocopying, Scanning and transmission of faxes
Recording, distribution and despatch of mail
Liaison with visitors to establish their transport, AV, accommodation, catering needs and subsequent booking of any requirements and arrival on site/to department
Booking of refreshments and hosted lunches
Maintaining adequate stationery levels and re-ordering as required
To provide cover/support/shadowing for other posts as and when required
Skills and Attributes
Good level of general education, preferably with GCSE's (A-C) or equivalent in English and Maths
Ability to communicate at all levels, using a variety of communication methods (spoken, written, behaviour)
Ability to work in a team environment or individually
Good interpersonal skills
Flexibility
Knowledge and Experience
Previous Administration and/or Secretarial experience (either paid or voluntary) - desirable
Knowledge/understanding of general office practices - desirable
PC literate, with a good level of experience in MS Office including Outlook (essential), Word (essential), Excel (essential), and Power point (desirable)
