MY DUTIES:

-Responsible for the independent delivery of profound administrative services in a local and a global context to assigned team
-Independently takes care of general administrative tasks (e.g. team meetings, calendars, travel/expenses as required) and maintains the administrative processes also in case of absence of the team members
-Informs, advises and supports the team on processes, guidelines and services that are specific to the department
-Supports optimization of current processes and/or introduction of new or modified processes
-Acts as a team member for administrative projects (e.g. organization of special events) and manages the administrative part of special tasks
-Guarantees a smooth adjustment to the job of new employees in the own area of responsibility; takes over supervising for colleagues in the administrative area (e.g. apprentices, new employees etc.)
-Provide support for Project Management activities, eg. prepararation of Powerpoint presentation material, update and tracking of activities, preparation of project meeting minutes etc.
-Data consolidation and follow-up relating to Budget and costs/expenses
-Supporting Integration processes in the Department while the manager is not onsite the whole time
-Support cross-country activities

MY QUALIFICATIONS:

-Professional Certification e.g. Commercial training (Swiss Association of Commercial Employees, business school) or equivalent
-Fluent in Englisch, German (preferable), Italian (would be an asset)
-Experience as Administrative Expert and relevant additional career training
-Strong relevant experience within an international, multi-cultural, proactive environment as an Administrative Expert / team / office coordinator requiring considerable organisational skills
-Used to performing the broad range of tasks in this role description, particularly complex diary/meeting scheduling, working successfully with a diverse range of countries and teams of nationalities, backgrounds and styles
-Proven ability to multitask and deliver effectively a broad range of similar tasks, maintaining confidentiality with high levels of discretion
-Effective communication, proactive thinking, timely decision making
