Administrative Support Officer

Overview:

Working as part of a team, you'll be responsible for administering and providing support for the use of contractors and business contacts within a large government client. A busy role, within a new team, providing support to the business to ensure contractors are brought into the organisation quickly and efficiently, enabling early productivity. The team will be the single point of contact for all things to do with contractors, responding to queries and concerns of business managers and the contractors themselves, as well as providing information and support to facilitate access to the organisation for business contacts.

The role will require working across many areas of the business and at all levels of management and staff.

Contractor Administration:

* Maintenance of the contractor and contacts database
* Administering the on-boarding, in-life management and off-boarding of contractors in accordance with the agreed business processes
* Administering the on-boarding of business contacts in accordance with agreed business processes
* Manning the contractor and contact helpline, providing responses to queries and concerns from business managers and contractors
* Proactively identifying any issues with the agreed policies and processes, making recommendations for change to the team manager
* Help build the contractor management knowledge base, learning from experience

General Administration:

* Scheduling of meetings as required for: exception handling, administration process development and management board meetings
* Attending and minute-taking at meetings, with formal recordings of Highlights, Decisions, Actions and Risks
* Drafting reports, populating with key management information (financial, milestone progress, red risks and issues)
* Initiating /drafting key documents
* Maintenance of filing structure
* Version control management

Skills and Experience:

* Experience of providing a wide variety of admin support
* Proven track record of providing admin support to programmes and projects
* Excellent Microsoft skills - especially ES Excel for management reporting purposes
* Excellent organisational skills and attention to detail
* Personable manner, showing willingness to help
* Excellent written and verbal communication skills
* Team-worker with a flexible approach
* Experience of working in a fast-paced environment
* Ability to plan and manage own work with a completer finisher mentality
* Can-do approach
* Customer service orientated
* Strong interpersonal skills
