Projektbeschreibung
Harvey Nash is looking for an Administrative Specialist/Expert for a 7 + month project in Switzerland.
You are responsible for:
. General administrative support: Independently takes care of general administrative tasks and maintains the administrative processes also in case of absence of the line manager/team members
. Responding to and initiating inquiries (questions regarding purchasing, personnel, facilities, administration, specialized programs, etc.) Explain policies, answer questions, and independently resolve problems whenever feasible
. preparing draft presentation materials for use by others, editing content and adding appropriate graphic and design elements. These responsibilities may include creating basic web content
. Composing and/or preparing correspondence, memoranda, promotional materials, forms, newsletters, manuals, and reports using appropriate word processing and spreadsheet tools; performing basic statistical calculations on data for reports and presentations
. Planning, prioritizing and scheduling meetings and appointments for Program Leads and other team members; making decisions on a daily basis regarding calendars
. Performing specialized administrative duties required to support the specific program area, using discretion to make judgments based on operating guidelines; Supporting purchasing requirements for department, researching items and obtaining price quotes, checking invoices, entering information into systems, receiving purchase orders, and maintaining information as required
. Arranging and coordinating travel and travel reimbursement for staff
. Compiling and maintaining information that may require web or library researching, gathering, compiling, and updating data and records as well as SharePoint administration
. Interaction: Informs, advises and supports the team on processes, guidelines and services that are specific to the program
. Supporting optimization of current processes and/or introduction of new or modified processes
. Handling of administrative projects: Acting as a team member for administrative projects (eg organization of special events) and manages the administrative part of special tasks.
Requirements
. Pharmaceutical experience required
