Administrative Secretary

SUMMARY

The Administrative Secretary provides clerical services to a variety of departments, including: Programming, Therapy, Social Services, Dietary, as well as the Administrator and others as needed. Additionally, this position will act as reception back-up.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.

Programming Department

- Record, type, copy, distribute, and file minutes for assigned residents'annual meetings (IHP's) and Habilitation Team meetings.
- Type minutes and all assessments/goals to the IHP (Programming, Therapy, Behavior). Update IHP as per the meeting.
- Type Behavior Management Programs and charts, etc.
- Type/Update Social History for each IHP for that month.
- Assemble, type, copy, and distribute IHP's.
- File original IHP's, IHP minutes, and Habilitation Team meeting minutes in Program files (in teachers offices).
- Mail copies of IHP's, minutes and team meetings to appropriate persons.
- Prepare, update, and distribute resident-related lists and forms.
- Prepare and send all notifications of meetings to parents, guardians (all IHP's and Quarterly Reviews).
- Maintain log of various parent permissions and mailings to parents for residents' documents, permissions, etc.
- Other duties as requested.

Social Services Department

- Type all correspondence and memos.
- Maintain Medicaid cards file.
- Attend all admissions meetings; type and distribute minutes.
- Type and distribute discharge summaries.
- Prepare annual and monthly reports.
- Maintain and update lists/database files of parent/guardian address lists, Medicaid numbers, private insurance information, social security numbers, birth dates, waiting list, picture releases.
- Send insurance information to doctors and hospitals as necessary; assist with resolution of disputes over residents' medical bills.
- Maintain log of all information sent to parents/guardians.
- Other duties as requested.

General Office

- Assist with keeping kitchen neat and clean.
- Lock office door in the evening.
- Cover front desk as receptionist for breaks, absences as necessary.
- Process UPS and certified mailings as requested.
- Type, copy, and mail correspondence/forms for department heads and professional staff as requested.
- Other duties as assigned.

SUPERVISORY RESPONSIBILITIES

This job has no supervisory responsibilities.

QUALIFICATIONS

EDUCATION AND/OR EXPERIENCE

High school diploma or general education degree (GED); one to three months related experience and/or training.

LANGUAGE SKILLS

Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence with excellent grammar and spelling. Ability to understand oral and written directions.

REASONING ABILITY

Ability to apply common sense understanding to carry out detailed but uninvolved written or oral instructions. Ability to deal with problems involving a few concrete variables in standardized situations.

OTHER SKILLS AND ABILITIES

Ability to use a computer proficiently. Ability to work competently with Microsoft Office Products, especially Word, Excel, Access or other database programs.

PAY RATE:

$11.07/hour;
