Description:

General administrative support: Independently takes care of general administrative tasks and maintains the administrative processes also in case of absence of the team members. Administrative tasks include: proactively and independently managing calendars, organizing and booking travels (and expense claims), meetings, t/c, and events, filing and archiving documents, writing minutes, following on actions from minutes to ensure that they are timely delivered, deputizing for administrative staff, supporting with IT issues, ensuring new team members are properly on-boarded, receive the relevant training (eg, NP4, GMCC procedures etc.), and have the relevant IT equipment and office related material, ordering office supplies, as needed, and filing expenses.

- Budget: Independently managing budget, including interacting with FRA and other relevant Functions; interacting with external firms, checking invoices, ensuring that they are timely in the system and approved.
- Handling of special projects: Independently manage administrative tasks of special projects (ie, organizing meetings, keeping minutes, following up on activities, preparing presentations). Plan and organize workshops and meetings.
- Supervisory tasks: Guarantees a smooth adjustment to the job of new employees, including training, onboarding material, onboarding meetings organized. When required or asked, takes over supervising for colleagues in the administrative area (eg apprentices, new employees etc.).
- Interaction: Informs and supports the team and associates from outside the team on processes, guidelines and services that are specific to the team.
