For our client in Stein, we are looking for an Administrative Expert for a 9 month .
Place: Stein
Workload: 100%
Duration: 01.09.2017- 30.06.2018 (Possibility for prolongation of this position is given)
Responsible for the independent delivery of profound administrative services by serving as the Admin Assistant to the Quality Site head and the team QA QC leadership team.
Provides administrative support to Quality Site Head on business operations with effectiveness and compliance. Independently takes care of general administrative tasks and maintains the administrative processes also in case of absence of the line manager/team members. (what is given, eg independent writing of correspondence, preparation of a draft for a presentation or a table after basic instructions, filing, appointment coordination for the department, database administration, supervising relatively demanding processes, eg target/actual comparisons, budget, checking of invoices, purchasing of supplies/services and single point of contact for catering orders, execution and monitoring off all costs for sponsoring requests, deputizing for administrative staff, meeting preparation, consolidation of meeting slides and writing of simple minutes). Planning and organizing visits of external and internal guest.
Diary management As admin expert of the Quality Site Head to manage business schedule, appointments, reservation, travel and other assigned tasks. Coordinates business schedule for all leadership team meetings and special events assigned
Interaction: Informs, advises and supports the team and associates from outside the team on processes, guidelines and services that are specific to the department.
Work processes in own area of responsibility: Supports optimization of current processes and/or introduction of new or modified processes.
Handling of administrative projects: Tasks with clearly defined content and time limitation. Acts as a team member for administrative projects (eg organization of special events) and manages the administrative part of special tasks (eg audit, inspection etc.) Strong influence as Admin. Expert to the Quality Site Head
Education Commercial training (eg Swiss Association of Commercial Emloyees, business school) or equivalen (eg other vocational qualification, must have very good administrative skills/experience)
Languages
German fluent/native speaker or professional level of German
English: Very Good written and spoken Knowledge of other languages (eg French) advantageous
experience as Administrative Expert" for 3-5 years
