For our client in Basel we are looking for an Administrative Expert for a 6 month contract
Place. Basel
Workload: 100%
Duration: 15.09.2017- 14.03.2018

Provide highly professional and reliable administrative and organizational services to the Head of Procurement Legal as well as additional global team members and work independently in assigned areas of responsibility within Procurement Legal. Assist Head Legal Procurement in basic project related matters.

Major Accountabilities:

Management of complex administrative and organizational assignments independently (eg dealing with and replying to correspondence, database administration, supervising relatively demanding processes, checking and assigning invoices, deputizing for administrative staff, preparing presentations after prior discussion of content, preparation and evaluation of statistics, meeting preparation and taking minutes)
Manage calendar and emails of Head Legal Procurement ensuring proper prioritization of tasks
Arrange travel/itineraries/expense reporting for Head Legal Procurement and team members
Provide additional basic admin support to Basel based global Procurement Legal team members (printing, archiving, expense reports, travel)
Maintain overview of all deadlines for submissions to, and actions arising from, various Committees at senior levels, eg the NPLT, NBS LLT
Organize and support Procurement Legal meetings, calls or offsite events including agenda preparation, venue setting and preparation, minute taking and actions follow up
Inform and support the team on processes, guidelines and services that are specific to the department. Act as a professional partner during interactions with people both from inside and outside of the department.
Support NBS Procurement Legal Project Manager through coordination/management of project support activities (tracking, monitoring, data collection, etc.)

Education and/or professional experience:

* Commercial training (eg Swiss Association of Commercial Employees, business school) or equivalent (eg other vocational qualification, but must have excellent administrative skills/experience)
* Experience as Administrative Expert and relevant additional career training (preferably in Legal)
* Possibly university graduate
* Preferably already has experience in an admin position


* Very good written and spoken English and German
* Knowledge of other languages (eg, Spanish, French) an advantage
