Projektbeschreibung

For our client in Basel we are looking for an Administrative Expert for a 5 months contract.

Duration: ASAP- 31.10.2017

Place: Basel

Workload: 80%

- Responsible for the independent update and maintenance of the Affiliated Company Database (AFCOM) as well as general administrative tasks within the Corporate and Finance Legal team

Major Accountabilities AFCOM Database Administration:

- Deals with updates and maintenance of data independently
- Takes care of general tasks, eg: o Obtaining of relevant data, ie Name of the companies, Boards of Directors, Capital, Shareholders, Auditors, etc.

o Dealing with and replying to correspondence/e-mails inquiries o Deadline Management o Follow up on actions and check if completed

o Preparation and evaluation of statistics

- Supervising relatively demanding processes, as well as new releases of the database and related tools (including eg the database survey tool)
- Produce special reports from the AFCOM Database
- Provides training on use of AFCOM Database Board membership changes
- Track board membership/management changes worldwide
- Align with Group Country Management on board membership changes
- Submit board membership changes to internal approval body
- Liaise with local entity to ensure local implementation of board membership changes
- Update AFCOM system accordingly General administrative support within Corporate and

Finance Legal:

- Dealing with administrative and organizational assignments independently
- Takes care of general administrative tasks, eg:

o Dealing with and replying to correspondence/e-mails inquiries

o Dealing with sensitive business information in a confidential manner

o Diary management (incl. set up of meetings, trips, conference calls etc.)

o Meeting preparation, incl. agenda, accompany visitors, order catering

o Expense reports o eShop (shopping tool) and invoicing

o Filing, local and central

o Developing of presentations

Deputizing within AFCOM Team and Corporate and Finance Legal:

- Deputizing within the AFCOM Team
- Deputizing within Corporate and Finance Legal, ie
- Corporate Housekeeping, Legalization of Documents, AGM preparation team

Interaction:

- Informs, advises and supports the team, associates from outside the team on processes, guidelines and services that are specific to the department and the AFCOM database
- Maintains good working relationship with other Functions (including in particular Group Treasury and Group Country Management) and to Country organizations to ensure timely delivery of quality data and to align on board membership changes
- Accommodates customers specific needs
- Is a professional partner to people within and outside the department

Education and/or experience:

" Commercial training (eg Swiss Association of Commercial Employees, business school) or equivalent (eg other vocational qualification, must have good administrative skills/experience).

" Experience as Administrative or Paralegal or additional career training.

" Swiss paralegal degree is an advantage

" Law firm or in-house legal Back Office experience

" MS Office professional knowledge and skills

" Very good knowledge of job-relevant software

Languages:

" Good written and spoken English and German (German is a MUST)

" Knowledge of other languages (eg French) advantageous.
