IHRE AUFGABEN:
-Serving as primary contact for one or multiple departments coordinating ongoing processes for the team
-Screening and acting on incoming phone calls and e-mails, maintaining distribution and personnel lists and coordinating mailings and courier/deliveries
-Managing department operations including filing, database development, budget tracking
-Ensuring stationary orders, etc.
-Handling functional processes such as invoicing and payments or preparation and distribution of promotional material
-Organizing all administrative aspects of relationships with outside vendors
-Participating in department project teams and providing training, guidance and orientation to new team members
-Taking care of calendars, organizing meeting rooms, including logistics, catering and equipment needs
-Preparing local and international meetings; arranging travel, meeting arrangements, visitor accommodations
-Creating agendas, taking and completing committee meeting minutes; coordinating distribution and follows up on action items
-Responsible for accounting processes such as invoicing and payments, creating purchase orders, opening vendors
IHRE QUALIFIKATIONEN:
-High school diploma
-Good work related experience in an administrative support role
-Knowledge using MS Office tools (Excel and PowerPoint )
-Fluency in English
-Experience in similar or related disciplinary and/or international environment; experience in pharmaceutical industry is a plus
-Basic know-how of the function/business area (Marketing) and familiarity with terminology of that area is preferred
-Knowledge of SAP and Concur is a plus
