IHRE AUFGABEN:
-Schedule, organize meeting rooms & environment for business meetings and team meetings, as well as 1:1
-Create and compile meeting minutes (incl. phone conferences), prepare documents, drafts, presentations
-Follow up on action items and prepare agenda and align on topics, maintenance of approved lists (such as training matrixes, supplier lists, annual plans etc.)
-Scheduling and preparation of S&OP (sales and operations) meetings, country calls and ensure list of key contacts
-Coordination among departments and cooperation with other, requisitions for trainings and special services, requesting access rights for SAP and other systems
-Handle requests for information and data including sort and distribution of incoming/outgoing correspondence (e.g. training documentation, training overview)
-Resolve administrative problems and inquires, receive and support visitors, clients and partners
-Coordinate maintenance/replacement of office equipment and create purchase orders (office equipment, backpacks) via SRM (SAP) and order of licenses and IT-equipment
-Coordinate audit-related preparations (e.g. SCORE SOPs) and managing training documentation and similar
-Facilitation of newcomer on-boarding, including issuance and archiving of training plans, employee signature list, organizational charts, job profiles
IHRE QUALIFIKATIONEN:
-A commercial degree or equivalent diploma (KV, Kant. Handelsschule, Federal Vocational Education and Training Diploma)
-Ability to build and maintain relationships
-Strong analytical thinking and quick understanding
-Profound experience in similar role, ideally in the pharmaceutical industry
-Strong communicational and organizational skills, displays adequate sense of prioritization
-Team player, independent, self-motivated, initiative and flexible
-Proactive problem solving mindset and ability to work under time pressure
-Work is generally of highly confidential nature
-Strong computer skills (MS Office Excel, PowerPoint ,Visio, Word, SAP)
-Fluency in English and German, both written and spoken
