WHAT YOU'LL BE DOING:
- Maintain calendars and schedule meetings. Coordinate conference/meetings, both on and off-site,
- Format and prepare confidential and non-routine documents; proof work and make changes as necessary. Support functional teams with Purchase Orders creation and/or Follow Ups in SAP and contacting suppliers over the phone or emails and control of supplier invoices.
- Ensure archiving of the SCM department is properly done and performed on time.
- Maintain department supplies and equipment.
- Make travel arrangements; prepare routine itineraries and expense reports.
- Screen telephone calls, take messages, and respond to routine inquiries.
- Prepare slides and graphs from draft.
- Establish and maintain filing systems.
- Photocopy and collate documents
- Sort/deliver mail and process in/out Fed-EX, UPS as needed.
- Maintain existing databases and develops routine spreadsheets.
- Schedule and make arrangements for candidate interviews
- Assist with new employee on- boarding tasks (equipment, badges, etc.)
- Coordinate employee work space allocation; submit all space requests to Facility Planning.
WHAT YOU NEED TO BRING TO THE TABLE:
- High school diploma.
- AA or BS/BA is preferred.
- Completion of an administrative training program or equivalent preferred.
- Significant (usually 4 plus years) related office experience
- Must be able to work in a management teamwork environment with shifting timelines.
- Strong organizational skills are required.
- Must be able to work in a team-oriented, multitasking environment
- Must be able to work independently and act proactively to oversee a variety of activities associated with administrative and department specific processes
- Basic knowledge of Good Manufacturing Practices (GMP) desired
- Thorough knowledge of personal computers and word processing, spreadsheets and presentation software including MS Word, Excel, and PowerPoint.
- Ability to type 65 words per minute, if needed to complete assigned tasks.
- Ability to operate standard office equipment, such as copy machines, conferencing equipment, etc.
- Experience with Concur, Webex and SAP required.
- Must take ownership of work to see things to their conclusion.
