ADMINISTRATIVE ASSISTANT needed for a 12 MONTH OPPORTUNITY with Yoh's client located in Pittsburgh, PA.

WHAT YOU'LL BE DOING:

- Supports IT Solutions Pittsburgh-based managers (1-2) and professional staff.
- Primary contact/administrator for Customer Request system entry
- Works with Business Planning & Administration personnel to request and oversee the Accounting & Billing set up to ensure team is able to bill projects in a timely manner
- Assists with Customer Invoicing and Vendor billing process - by reviewing and reconciling Supplier invoices for ITS teams.
- Accesses and obtains knowledge of "GET" Internal Billing application for Cross Company billing, pre-notification of errors and reporting
- Works with and backs up fellow ITS Administrator for template billing, manual invoicing as needed
- Communicates with and answers questions of department controller related to details of invoices & billings related to assigned team.
- Runs project reports on a weekly basis for team & management review
- Answering Phones/Taking Messages
- Filing, Copying, Scanning, and Faxing
- Coordinate and book events/meetings
- Coordinate travel itineraries
- Arranges travel requests for 2-3 managers and professional staff as needed.
- Review and Handles expense reports as requested.
- Initiates Purchase requisitions through Purchasing System, Orders supplies through Purchasing System as needed
- Schedules meetings, video conferences, teleconferences, etc. as needed
- Represents department in a professional manner.
- Applies experience and knowledge in problem solving.
- Must be able to multi-task.
- Proactively anticipates manager/staff needs based on experience.
- Follow-up all requests to completion.
