JOB RESPONSIBILITIES:
- Maintains the confidentiality of the work being done by the auditing department at all times with both internal and external contacts.
- Answer telephones, triages calls selectively or personally resolves issues with callers as appropriate, takes accurate messages and determines priority for return calls.
- Greets screens and directs visitors while offering hospitality and amenities as appropriate.
- Coordinates special arrangements for guests such as travel, parking etc., as necessary.
- Prepares correspondence from handwritten notes or via dictation. Initiates responses to correspondence as appropriate. Assures all information is handled confidentially.
- Coordinates meetings, interviews, etc., including making room reservations, ensuring that necessary materials and/or equipment are in place and providing appropriate services and amenities to all visitors.
- Applies insight and good judgment in establishing priorities for the Vice President and staff.
- Review, sort and distribute mail.
- Prepare reports using Microsoft Office as directed. Formats audit reports in accordance with Corporate Auditing Standards.
- Maintains accurate filing systems in a manner to ensure the data integrity of the, confidentiality, and organization to allow for timely retrieval of information.
- Coordinates domestic and international travel arrangements as necessary for the staff. Ensure the itinerary, ticketing and other travel documents are in place at the appropriate time.
- Maintains accurate business expense records and processes reimbursement documents timely and in accordance with corporate travel guidelines.
- Performs job duties and responsibilities while adhering to all Bayer compliance and ethical guidelines and LIFE values.
- Performs other duties as assigned.
JOB QUALIFICATIONS:
- Minimum high school diploma or equivalent.
- Five (5) or more years of secretarial or administrative experience in progressively responsible job situations.
- Minimum of intermediate level skills with Microsoft (MS) office suite.
- Ability to deal with confidential information.
- Must be highly organized and have good attention to detail.
- Ability to demonstrate the appropriate level of enthusiasm and initiative.
- Excellent written and verbal communication skills and the ability to deal effectively with all levels of an organization as well as with external contacts.
- Ability to exercise independent judgment in accordance with established department guidelines and established policies.
