MY DUTIES:

- The Administrative Assistant Ophtha provides administrative support to the BF Head, the marketing team and the wider sales team. This includes support for the organization of meetings, management of compliance and financial processes, and support with calendaring and travel arrangements. The Administrative Assistant is the primary point of contact for the Ophtha marketing (3 pax) and sales (9 pax) teams
- The Administrative Assistant will also work closely with assistants in other franchises to ensure reciprocated cover during holidays or high workload periods
- Organizing Marketing/Commercial Mailings
- Managing NP4 process for sponsoring/ grant requests (i.e. opening NP4, coordinating the process cross functionally, issuing response letter to customers)
- Managing procurement process (i.e. purchase order, good receipts, invoice processing) and Marketing budgets
- Archiving / info management in line with compliance requirements
- Ordering, mailing, re-stocking promotional material for customers / sales force
- Supporting the organization/logistics for small-mid events (e.g. sales meetings, team offsite, advisory boards and round tables with external customers and advisors)
- Supporting the BF Head with calendar management and travel arrangements
- Quality and Safety:Is obligated to report any Adverse Event or Technical Quality Complaint within 24h from the receipt to the DS French: professional proficiency; English: highly desirable  
- Ideally profound experience in administrative- or office management positions
