ADMINISTRATIVE ASSISTANT

Are you a Administrative Assistant with 2 -5 years prior work experience in administration, preferably in the international development or health sector, or related field of work? Was this experience gained within a multinational and multicultural environment and are you looking for an exciting new opportunity within a non-governmental organisation (NGO)? If so, please have a look at the following details:

Experis IT Switzerland is currently on the search for a Administrative Assistant to join one of their clients, an NGO, based in Geneva.

YOUR ROLE:

To provide operational and administrative support to internal teams and departments

The role holder is expected to maintain exceptional levels of professionalism, efficiency and discretion whilst demonstrating strong communication skills and judgement. The role holder will work closely and collaboratively with internal and external stakeholders dealing with a wide range of highly sensitive issues within extremely tight deadlines and demanding situations.

KEY RESPONSIBILITIES

You will:

- Assist with the coordination, organization and implementation of Board meetings including support to the preparations for the meeting as well as on-site support at meetings held in Geneva as well as "away" Board meetings. (2 meetings per year).
- Assist with the coordination, organization and implementation of meetings of the Board's three standing committees (est. 3 meetings per year/per committee), as well as any ad hoc working groups or committees.
- Coordinate the membership management of current Board and committee membership including maintaining and sending original welcome materials, updates to relevant databases and direct engagement with Board constituencies for any required additional information as appropriate.
- Assist with inter-sessional Board communications and Electronic decision points including preliminary drafting as well as monitoring of constituency queries, votes and consolidation of responses.
- Provide ongoing maintenance and updates to governance workplan database and Board and committee decisions database.
- Provide support as needed to the Board induction processes.
- Provide back-up support to the maintenance of the governance related external websites and document sharing platforms.

TO DELIVER THE REQUIRED RESULTS, IT'S NECESSARY THAT YOU HAVE:

- 2+ years of relevant experience, including with the organization of global meetings involving multiple stakeholder types
- Strong organizational and time management skills
- Experience working with sensitive documents and information
- Ability to handle multiple tasks, work under pressure and meet deadlines.
- Strong IT knowledge
- FLUENCY IN BOTH ENGLISH AND FRENCH
