Projektbeschreibung

For our well-known client in Basel we're looking for a Administrator for a 7 months project.

GCA admin Support:

Position Purpose

Supports the Basel based GCA team in strategic initiatives and office based operational activities

Responsible for all administrative and reporting activities through excellent communication and organizational skills

Major Accountabilities

1. Support the GCA team with the implementation, tracking and management report-ing of all strategic initiatives related to the Management of the department, the organizational development and the future direction of QMS.

2. Provide administrative support for the Basel based GCA team eg
a. Calendar management if needed
b. Travel and visa arrangements
c. Meeting arrangements
d. Administrative support on and off boarding
e. Compile data using excel
f. Preparing slidesmaintain current standard distribution lists for QMS functions and relevant business partner functions. Support collating and producing accurate and timely KPI and management reports, as needed.

6. Support GCA Training/Meeting activities

7. Support the creation and maintenance of the GCA webpages with up-to-date information. Regularly check the site for accuracy, up to date information, and links as well as compile new content as required.

8. Support the recruitment of GCA personnel, as appropriate, through the independent handling of personnel request forms, coordination of the interview program and process with HR and candidates, prepare offices with all infrastructure, arrange introductory programs and trainings for newcomers

9. Support the financial administration of the Basel based GCA team incl. the processing of invoices

10. E-Shop (coordination of Purchasing orders, GR and Invoices)

11. Supporting & Deputizing the Executive Assistant of Head of GCA in his/her absence.

12. Building and maintaining working relationships with internal and external stakeholders:

- Smooth planning and execution of logistics for QMS meetings, trainings and other relevant events
- Accurate and timely distribution of QMS communication, presentations and other relevant materials
- Adequate collaboration with HR and effective support of the recruitment process
- Efficient travel coordination

Ideal Background

Education:

. Commercial training (eg Swiss Association of Commercial Employees, business school) or equivalent (eg other vocational qualification, but must have excellent administrative skills/experience).

Languages:

. Good written and spoken English and German. Knowledge of other languages preferred
