Operational Support Executive - Public Sector - 3 month contract - Edinburgh

An experienced Operational Support Executive is required to work as part of a growing project team to coordinate and administer process and resources during establishment of the teams delivering the delivery of large public sector projects.
Reporting to the Operations Manager, you will be required to work collaboratively with colleagues, internal stakeholders and external suppliers to ensure integration and support of new-start and established team members.
You will have a background in Account/Client Management or Administration and experience of project coordination in a rapidly evolving, fast-paced digital environment.

Main Duties:
On-Boarding
*Responsible for agency and new-start communications, eg CV gathering, managing the offer process, issue resolution, compliance on documentation and deliverables, induction support
*Responsible for liaison with HR and Security to ensure all internal on-boarding processes are promptly and correctly completed, eg timely ordering of IT equipment, creation of accounts, preparation of passes and access sheets
*Scheduling and assisting Department Heads in applicant sifting and interview preparation

Team Support
*Work closely with the wider team to support all operational requirements: advise on and manage processes, order software/hardware, assist with office planning and new start seating, liaise as required with other divisions esp. Departmental Security and IT management

Self-Management
*You will be rigorous in aligning process with requirements and in deciding task priorities. You will be confident and proactive in identifying and contributing process efficiencies and improvements.

Communications and Engagement
*You will be prompt and articulate in dealing with colleagues, senior management, wider teams and external suppliers. You will be able to produce clear and effective documentation.

Information Management
*You will maintain accurate records of your actions and of the progress of tasks, ensuring that such records are accessible as required.

Essential Skills:
*Account Management, Client Management or Senior Administration experience
*Strong track record of negotiating, maintaining and improving client and/or customer relationships
*Self-motivated, goal oriented, persistent and a patient, but effective, negotiator
*Enthusiastic & open team-worker with a high level of initiative
*Handles multiple tasks, stressful situations and deadline pressures well
*Plans and carries out responsibilities with minimal direction
*Excellent written and oral communication skills
*Highly organised and attentive to detail
*Good Microsoft Office skills

Desirable Skills:
*Significant project coordination experience
*Technical and process awareness in a digital environment, ie general knowledge of software, hardware, approaches, working methods, etc.
*Knowledge of the public service landscape.

Candidates require a Basic Disclosure Scotland completed in the last 12 months.
