Role

We are seeking a pro-active Management Support Officer to undertake all aspects of invoice processing, including review, financial assignment, co-ordination and management of invoice approval workflow. Provide support to Global Business Management invoice processing team with invoice transactions and reporting through the local Swiss invoice process and tool, and other invoice tools as required. Responsibilities will include assisting BAU transformation projects and initiatives for Business Management operational model changes, and integration of Group Technology and Group Operations processes.

The duties include, but are not limited to:

* Invoice processing, including review, financial assignment (coding), co-ordination and management of invoice approval workflow. Areas supported will vary, initially will include Investment Bank IT (IBIT), Group Finance IT (GFIT), Record Management IT (RMIT);. Maintenance of the how to invoice help guides for Group Technology staff for updates to processes and tools, and assisting with communication on invoice processes;. Invoice progress tracking and status reporting, including report provision upon request;. Assisting Vendor Managers with (adhoc) Vendor` enquiries regarding invoice status;. Support to Global Business Management invoice processing team with invoice transactions and reporting through the local Swiss invoice process and tool, and other invoice tools as required. This includes setting client data markers appropriately to enable next step processing of Swiss Invoices;. Investigating invoice process/payment delays and chasing staff at all levels in the invoice workflow;. Correct financial assignment of invoices (coding) using accruals and time booking information, liaising the financial and business contacts to facilitate assignment as required;. Document management regarding invoices;. Assist with ongoing GT operational model transformation, integration of Group Technology and Group Operations processes;. Team working across all Group Technology . Provision of key performance indicators and statistics for BAU activities deployed;. Operate within Business management process requirements, promoting best practice, including use of the right tools and processes.
