Projektbeschreibung

HR Administrator required for a long term contract with an Educational client based in Langley.

Main duties and responsibilities of the post include the following:-

1. Handle the administration of all new starters (established and sessional) following interview, including sending offer letters and contracts, starter paperwork, processing pre-employment checks, sending induction memos, etc. Ensure that all pre-employment checks are accurately recorded on the HR database.

2. Process amendments to contract, ensuring that staff are notified of any changes in a timely manner and liaising with payroll to ensure that all amendments are processed in the appropriate payroll month.

3. Check and process Disclosure and Barring Service (DBS) forms supplied by staff, volunteers, governors and students (this will require the postholder to be a registered Counter-signatory with the DBS and ensure the department maintains sufficient supplies of DBS stationery). Maintain the central records including all DBS checks being processed, to enable tracking and evidence of completion.

4. Produce relevant reports from HR database to allow completion of duties including outstanding pre-employment checks on a weekly basis.

5. Provide support to the HR Trainee Adviser in the recruitment process, for example releasing applications to managers to undertake shortlisting; advising applicants of the outcome of their application by either inviting them to interview or advising their application was unsuccessful; processing requests for temporary staff

6. Provide generalist HR advice on areas within own remit of work, to both managers and staff as required.

7. Process paperwork for staff leaving the college, including liaising with payroll, sending correspondence, and checking outstanding issues such as repayment of fees and annual leave.

8. Keep the HR database up to date by processing changes to the system in relation to new staff, amendments to contracts, terminations, pre-employment checks and audit checks and changes

9. Process all probationary, induction and appraisal documentation including, chasing outstanding information, recording forms on the HR system, entering meeting due dates and sending related correspondence.

10. Manage the central HR E-Mail, processing and responding to requests or forwarding e-mails to appropriate members of the team, including reference requests.

11. Produce ID badges for all staff members, new or annual updates, recording information and updating the system as necessary.

12. Keep personal files up to date, removing documents no longer needed and filing as necessary. Archiving leavers files annually.

13. Process requests for Childcare and eye care vouchers, verifying entitlement to receive vouchers, issuing vouchers and keeping an up to date record.

14. Assist with inputting data, eg holiday entitlement for part time staff

15. Undertake general administrative tasks associated with role, including covering reception (post and HR Emails), filing, photocopying, answering the phone, etc

16. Any other duties commensurate with the grading of this post as may be required from time to time.
